Plenty of nonprofits run on Salesforce and NPSP, then bolt a separate donation tool onto the side. It works, until it does not. Gifts land in one place, donors in another, and someone spends Monday morning reconciling the two.

One-way sync is where the trouble starts

Many integrations only push in a single direction. A gift comes in, a record gets created in Salesforce, and that is where the connection ends. Update the donor in Salesforce and the donation tool never hears about it. Change something in the donation tool and Salesforce never hears about it either.

You end up with two systems that agree at the moment of a gift and drift apart every hour after.

What a real two-way sync does

A sync worth having keeps both systems current, in both directions, without a person in the middle. Concretely, look for:

  • Records that flow both ways. A change in Salesforce updates the donation tool, and a change in the donation tool updates Salesforce.
  • Standard and custom objects. Your NPSP setup is not vanilla. If the sync only handles standard objects, your custom work gets left behind.
  • Field-level mapping you control. You decide which field maps to which, rather than accepting a fixed mapping that almost fits.
  • No re-keying. If staff are still copying values between tabs, the integration has not actually done its job.

Why “source of truth” matters

When one system is unambiguously the record of truth, every question has one answer. Reporting is clean. Segments are trustworthy. Nobody has to ask which number is the real one before a board meeting.

Salesforce is a fine source of truth. The trick is choosing fundraising surfaces that respect that, rather than quietly building a second database beside it.
